Privacy Policy

1. Who we are
QAPP Property Management ("QAPP", "we", "us") provides residential property management services in Edmonton and surrounding areas. QAPP is RECA-licensed and operates under Century 21 All Stars Ltd.
This policy explains how we collect, use, disclose, and protect personal information in accordance with the Personal Information Protection Act (Alberta) ("PIPA") and, where applicable, the Personal Information Protection and Electronic Documents Act (Canada) ("PIPEDA").
Our online portals and this website are operated for us by PropIQ, our software service provider, which processes information only on our instructions.
2. What we collect
Contact and inquiry details: your name, email address, phone number, and the message you send us through our contact form or by email/phone.
Rental application details: the information you choose to provide when applying for a vacancy, such as contact details, current housing, employment/income information, and references.
Tenancy and ownership records: once you are a tenant, owner, or vendor with us — lease details, rent and payment records, maintenance requests, messages with our team, and related documents.
Portal account information: name, email address, phone number, role (tenant, owner, vendor, or staff), and a securely hashed password. Passwords are never stored in readable form.
AI assistant conversations: messages exchanged with Lucy, our website and portal assistant, are logged so our team can review the service provided. Please do not enter banking details, government ID numbers, or other sensitive data into chat.
Technical data: session tokens and basic logs (timestamps, pages served) needed to keep the service secure and functioning. We do not sell advertising and we do not use third-party ad trackers.
3. Why we collect it
To respond to inquiries and process rental applications.
To manage tenancies and properties: collecting rent, coordinating maintenance, communicating with tenants, owners, and vendors, and preparing owner statements and records required of us as a licensed property manager.
To meet our legal and regulatory obligations, including record-keeping requirements under the Real Estate Act (Alberta) and its Rules, and obligations under the Residential Tenancies Act (Alberta).
To secure and improve the service: detecting misuse, fixing defects, and understanding aggregate usage.
Under PIPA, we collect, use, and disclose personal information only for purposes a reasonable person would consider appropriate in the circumstances, and we limit collection to what those purposes need.
4. Consent
By submitting a form, applying for a vacancy, or using our portals, you consent to the collection and use described in this policy. Where the law allows or requires collection without consent (for example, information needed to manage an existing tenancy or meet regulatory obligations), we rely on those provisions.
You may withdraw consent, subject to legal or contractual restrictions, by contacting our privacy contact below; we will explain the consequences (for example, some services cannot be delivered without contact information).
5. Where your information is stored
Our core database is hosted in Canada (AWS Canada — Central region, via our database provider). Some supporting service providers (such as web hosting/delivery, email delivery, and AI processing for Lucy) may store or process information outside Canada in the course of providing their service.
Where personal information is processed outside Canada, it may be accessible to authorities in those jurisdictions under their laws. PIPA requires us to tell you this and to name a contact who can answer questions about our service providers outside Canada — that contact is our privacy contact listed below.
6. Who we share it with
Our brokerage: QAPP operates with Century 21 All Stars Ltd., which is responsible under RECA rules for the records of our property management business.
Property owners: tenants’ information relevant to their tenancy (for example, lease terms, rent status, and maintenance affecting the property) is shared with the owner of the property as part of managing it.
Service providers that run our systems — website and portal software (PropIQ), web hosting (Vercel), database hosting (Supabase, Canadian region), email delivery, and AI processing for Lucy (Anthropic). Each provider is limited to what it needs to provide its service.
Others when required or permitted by law — for example, RECA, a court or tribunal (such as the RTDRS), or law enforcement with lawful authority.
We never sell personal information.
7. Safeguards
We protect personal information with technical, administrative, and physical safeguards appropriate to its sensitivity, including encrypted connections (HTTPS), hashed passwords, role-based access to portal records, and staff confidentiality obligations under our brokerage’s policies.
No system is perfectly secure. If a privacy breach creates a real risk of significant harm, we will report it to the Office of the Information and Privacy Commissioner of Alberta and notify affected individuals as PIPA requires.
8. Retention
We keep personal information only as long as needed for the purposes above and to meet legal requirements. Some records — such as tenancy and trade records — must be retained for the periods required under the Real Estate Act Rules and tax law before they can be securely destroyed.
9. Access and correction
You may request access to your personal information in our custody, or ask us to correct an error or omission, by contacting our privacy contact below. We will respond within the timelines PIPA sets (normally 45 days) and will explain any legal reason we cannot provide particular information.
If you are not satisfied with our response, you may contact the Office of the Information and Privacy Commissioner of Alberta (oipc.ab.ca).
